Voluntary Provision and Impact of Non-Provision
The provision of personal data to VLI is voluntary. However, where requested data is marked as mandatory or necessary for transaction processing (e.g., recipient contact details for equipment courier delivery or billing verification), failure to provide such data may prevent VLI from issuing a formal quotation, fulfilling an order, or confirming workshop bookings.

Personal data held by VLI is kept strictly confidential. VLI does not sell, rent, or trade your personal data. We may disclose or transfer personal data solely to the following classes of third parties on a strict need-to-know basis:
- Logistical service providers and courier companies (e.g., for shipping drone hardware and battery packs within Hong Kong).
- Financial institutions, payment processors, and banking partners (e.g., HSBC Commercial Banking) for payment settlement and audit compliance.
- Technical service contractors engaged to support website hosting, database operations, or workshop delivery, bound by confidentiality obligations.
- Regulatory bodies, law enforcement, or government agencies where mandated by law or court order.
Direct Marketing Policy
VLI complies with Part 6A of the PDPO regarding direct marketing. We will not use your personal data to send promotional newsletters, product launch announcements, or tournament invitations without your explicit prior consent.
If you have provided consent, you maintain the right to withdraw consent and opt out of direct marketing communications at any time, free of charge, by emailing info@velocity-lab.com with the subject "Unsubscribe".
Data Retention and Security Safeguards
VLI retains personal data only for as long as necessary to fulfill the purposes for which it was collected, or to satisfy legal, tax, accounting, or regulatory requirements. Commercial and invoice records are typically retained for seven (7) years in accordance with Hong Kong tax laws.
We implement robust physical, technical, and managerial safeguards to protect personal data against unauthorized access, accidental loss, processing, alteration, or disclosure. All digital transmissions via VLI portals use encrypted protocols.

VLI digital portals use functional and performance cookies to maintain session states, manage the quote cart, and collect anonymized website usage analytics. You may configure your browser settings to refuse or delete cookies; however, certain portal functions (such as the equipment quote cart) may experience limited functionality.
